Starting a Tuition Class in Sri Lanka: The Admin Setup Checklist

You have the subject knowledge and the first batch of students. The admin is what wears new teachers down: who paid, who attended, which parent to call. Setting these up properly in the first term saves hours every week afterwards.
Week 1: student records
- Name, grade, school, and exam year (O/L, A/L or Grade 5 scholarship)
- Parent name and a phone number that receives SMS or WhatsApp
- A student ID or admission number from day one
- A photo, if you plan to use ID cards
Week 1: fee rules
Decide your monthly fee, tute fee, any sibling discount and the due date, and write them down before the first payment arrives. Record every payment, including cash, against the student and the month.
Week 2: attendance and parent contact
Mark attendance every class, even if you only have twenty students. Parents ask about it more than you expect, and the history becomes evidence when a student’s marks drop. Automatic arrival messages to parents build trust quickly.
