How to Collect Tuition Class Fees Online in Sri Lanka

Cash at the door feels simple until month end, when the cash box, the register and the teacher’s list disagree. Moving even part of your fee collection online makes every payment traceable. Here are the options available to Sri Lankan institutes and how to roll them out without confusing parents.

Why cash at the gate leaks money

  • Payments are recorded after the fact, sometimes not at all
  • Students attend while “paying next week” and nobody follows up
  • Staff time goes into counting and reconciling instead of teaching support
  • Parents have no receipt history when there is a dispute

Option 1: Card and wallet payments through a local gateway

Gateways such as PayHere and Dialog Genie Business let parents pay by card or mobile wallet in LKR. The payment is recorded automatically against the student and month, so there is nothing to reconcile. Gateways charge a percentage per transaction, so decide whether you absorb it or build it into the fee.

Option 2: Bank transfer with slip upload

Many Sri Lankan parents already pay by online banking or a CDM deposit. The problem is matching a slip photo in WhatsApp to a student. A better flow is for the parent to upload the slip in the parent app, with a payment reference that identifies the student, and for staff to approve it in one click. Duplicate-slip detection stops the same receipt being submitted twice.

  • Keep cash as an option for the first term; record it in the same system
  • Announce online payment in class and in the parent group with a short demo
  • Send reminders only to the unpaid list, not to everyone
  • Review the unpaid list before each class instead of at month end
